What you can change, and who sees it

Which settings are yours alone, which belong to the event, and which are kept only in your browser.

For everyone 7 min read Updated

Some settings are yours alone, some belong to the event and are seen by everyone who opens it, and some are remembered only by the browser you are using. This page lists each one, so a change does not surprise a colleague.

A setting that is kept in your browser does not follow you to another computer or another browser, and clearing the browser's site data removes it.

Choose the metric cards

The cards above the attendee manager table are chosen for each event. Everyone who opens the event sees the same cards.

The Metrics card tab of the attendee settings.
  1. 1The Metrics card tab.
  1. 1
In the attendee manager, press the More icon, then Settings.
  2. 2
    Open the Metrics card tab.
  3. 3
Use the arrows to move a card up or down, and the cross to hide a card.
  4. 4
Under Add a card, press a card to add it back. Each one is shown with a +.
  5. 5
    Press Save cards.
  • You can show between four and six cards. The screen stops you hiding the fourth card, and tells you when six are showing.
  • The cards you can choose from are Attendees, Pending invite, Awaiting response, Submitted, Booked, Needs a room and Aging.
  • Aging is off at first. It counts people invited more than 24 hours ago who have not answered, and only counts links sent from HAPR.
  • If you save fewer than four or more than six, the screen shows Show between 4 and 6 cards.

For the full attendee manager, see Attendee manager.

Show registration answers as columns

The attendee manager can show any registration answer as a column. The groups are All travel details questions, Dietary questions, Health and accessibility, Company info, Clothing size and Custom questions. A group only appears when it has at least one question.

  1. 1
In the attendee manager, press the More icon, then Settings.
  2. 2
    Open the Show/hide fields tab.
  3. 3
Tick the answers you want as columns. You can switch on a whole group at once.
  4. 4
    Press Save fields.

All of them are off at first, because each one makes the table wider. The choice belongs to the event, so everyone who opens it sees the same columns.

Group rows

Press the Group rows icon in the attendee manager and tick the levels to group by. A chip named Grouped by shows what is on. Press it, or Remove grouping, to clear it.

Grouping is yours alone and is not saved. It is also not affected by the order you tick the levels. The levels always nest in the same fixed order, so the table looks the same to everyone.

Set the visa columns

In Visa management you choose which columns the table shows and add your own working columns.

  1. 1
Press the Column settings gear icon.
  2. 2
In the Columns tab, tick the columns to show. Attendee and Actions are always shown.
  3. 3
In the Helper columns tab, press Add helper column. Name it, then choose whether it is a single dropdown, a multiselect list, a date or a free-text box. For the two list types, type one option per line.
  4. 4
    Press Save for this event.

The columns and helper columns belong to the event, and the values you type into a helper column are saved against each attendee. Custom questions from the registration form appear in the Columns tab automatically.

The drawer also has Set as default for all events. It is not available to your organisation and shows Could not save default. Use Save for this event.

For the full screen, see Visa management.

Save a download preset

A preset remembers which columns and filters you chose in a download, so you can repeat a report with one press.

  1. 1
Open the download drawer on the screen.
  2. 2
    Choose your columns and filters.
  3. 3
Press Save as preset and give the preset a name.
  4. 4
Next time, press the preset to load it. Press the star on a preset to make it the one the drawer opens with, and press the bin to delete it.

Where the preset is kept depends on the screen.

  • In the attendee manager and Visa management, presets are saved to your own account, so they follow you to any browser. Other people do not see them.

See Downloads and PDFs.

Use the event hub options

The chips at the top of the event hub filter the list by category. The category you pick is remembered in your browser, so the hub opens the same way next time. Hide ended and the sort order are not remembered and reset on your next visit.

Sorting by Recently opened uses the workspaces you have opened in this browser. A workspace you opened on another computer shows as never opened here.

See The event hub.

Know which settings belong to the event

These settings belong to the event, so a change affects everyone working on it.

  • Info, visa and travel agency status options and the position list are edited in the attendee manager settings.
  • Email templates, the registration form and the event website use your organisation's default until someone saves a version for the event. After that the event keeps its own version.
  • The attendee app theme is set for the event. Any field you leave blank uses the organisation default.

Organisation admins set the defaults in Settings. See Settings and default templates, Email templates, Registration form setup, Event website and Designing the attendee app.

Good to know

  • You cannot change which statuses you can set by hand. Only Update requested and Cancelled are decisions. The others report what happened.
  • You cannot change the shuttle report's timing buffers. Arrival pick-ups are set 60 minutes after landing and departure drop-offs 150 minutes before the flight. See Shuttle report.
  • Downloads from the larger tables stop at 20,000 rows. Narrow the filters to get the rest.
  • Search, filters and sort in a table are never saved. If you need the same view again, save a download preset or keep the filters in mind for next time.
